Ten ways to save money on a Foshan buying trip

Buyers arrive expecting the money to be won in the negotiation. Some of it is. Most of it is won in decisions that happen before anyone talks about price and after everyone has stopped.

1. Think in cubic metres from the first showroom

Furniture ships by volume. A piece that packs flat or nests earns space in the container, and space is the cost. Collecting packed dimensions from the first quotation onwards, rather than at the end, changes which items make the list.

2. Consolidate everything into one shipment

Several small shipments from several suppliers is the most expensive way to move furniture. Bringing everything to one warehouse and loading once is standard practice here and it is where a genuine saving sits.

3. Spend money on packing

This looks like the opposite of saving and is not. One damaged sofa arm wipes out the saving on a hundred cartons. Better corner protection and proper film is a small line item that removes the most common loss on the whole shipment.

4. Line up your lead times

A container leaves when the slowest supplier finishes. Storage while waiting, and the cost of being late to your own customers, are both real. Agreeing lead times against each other at the point of ordering costs nothing and prevents both.

5. Ask what changes at a higher quantity

A more productive question than asking for a discount, because it gives the supplier something concrete to move. Frequently the step is smaller than you expect and worth taking.

6. Simplify the specification where it is not visible

A fabric one grade down in the same range, a simpler finish on a surface nobody sees, standard hardware instead of a premium alternative on an interior drawer. Savings that the customer never notices are the best kind, and suppliers will tell you where they are if you ask.

7. Order at a quieter time of year

Production is tighter before fairs and before Chinese New Year, and pricing and lead times both reflect that. If your schedule allows a quieter window, ask what the same order looks like in it.

8. Buy the spares now

Extra fixings, a spare glass shelf, fabric offcuts. Trivial to add to a production run and expensive to source in a year, particularly once a batch is finished and the dye lot has moved on.

9. Inspect before the container is sealed

The cheapest hour of the whole process. A badly wrapped item is a five minute fix on the warehouse floor and a long claim once the doors are closed.

10. Go back on the second day

Prices firm up in the second conversation, not the first. It is not that anyone was holding out. It is that by the second visit the supplier knows the order is real and can quote what it actually costs to build for you.

The one that pays for itself

It is worth being direct about this, because it is easy to assume the opposite. Buyers often look at the cost of arranging a trip with local help and treat it as an overhead to be avoided.

Set against what is on this list, it usually reads the other way round. The lead time alignment in point four, the packing conversation in point three, the specification savings in point six and the inspection in point nine are all things somebody has to actually do, in Chinese, on the ground, on the right day. A buyer doing all of that alone from another country either does it partially or does it late. The arrangement is a modest percentage of an order. One prevented shipment of damaged goods, or one container that goes out full instead of three quarters full, tends to cover it several times over, and that is before anyone has negotiated a single price.

Where not to save

On the trip itself. Cutting a three day trip to two to save a hotel night is the most expensive economy available, because the third day is the one where the order gets settled properly.
